Summary

The May Institute is currently seeking an Accounts Payable Manager, who will be responsible for the day to day operations of the May Institute, Inc. and Affiliates accounts payable department.   The Accounts Payable Manager reports to the Controller and will lead all day-to-day operations of the accounts payable department and supervise a team with functional responsibility for accounts payable. 

Responsibilities

  • Manages Accounts Payable Function, including supervision of two staff, Customer and Vendor Relations and 1099 and tax related matters.
  • Maintains Accounts Payable Sub-ledger and Vendor Master File.
  • Develops implements and maintains systems, procedures and policies, including accounts payable functions to ensure adherence to organization guidelines.
  • Manages monthly closing of accounts payable and posting of month end information; ensures accuracy of accounts payable data and strict adherence to deadlines.  Ensures that accounts payable ledger and general ledger reconcile each month with no exceptions.
  • Processes employee expense reports in a timely and efficient manner.  Provides expense report information to payroll by established deadlines for processing in current period payroll.
  • Processes monthly OIG/SAM Governmental Exception Report.  Follows up on any exceptions bringing them to a conclusion and final resolution.
  • Works with General Accounting and Finance to ensure that all allocations are in agreement with budgeted allocations and Cost Allocation Plan.  Ensures that all program changes are properly entered in accounts payable ledger.
  • Provides accounting assistance to all operations staff; responds to financial questions/concerns in a prompt, polite and professional manner.
  • Acts as a liaison between the company, government and external accountants to meet information needs and to ensure that proper information is maintained for historical purposes.
  • Selects and hires employees for Accounts Payable. Trains and evaluates employees to enhance their performance, development, and work product. Addresses performance issues and makes recommendations for personnel actions.
  • Performs other duties and tasks as assigned by management.

Qualifications

  • A bachelor’s degree or higher in accounting or business is required.
  • Three to Five years of Accounts Payable experience is required, with at least two full years in a supervisory position. 
  • Proficiency in Great Plains Dynamics or equivalent ERP system and Microsoft office suite are required
  • Strong interpersonal and customer service skills are required with an ability to work across all level of the organization including but not limited to working with accountants, clients, operational and departmental managers, support personnel, and upper management.
  • Strong analytical and problem solving skills.
  • Strong communication skills for educating internal clients on accounts payable guidelines
  • Accounts Payable systems implementation experience is highly preferred
  • Strong planning and organizational skills in order to balance and prioritize work load.
